What you'll get
You will be able to turn rough notes or a transcript into a short summary with clear actions, owners and dates, ready to send.
Why this is a good AI task
Writing up a meeting is a job almost everyone puts off. The information is all there in your notes, it just needs sorting. That makes it ideal for AI: the input is your own material, the output is easy to check, and it saves time every week.
Before you start
You need your notes from the meeting. Rough bullet points, a typed transcript or a recording’s automatic transcript all work. If your notes are handwritten, take a photo: both Claude and ChatGPT can read images of handwriting reasonably well, though you should check names and numbers.
Write it up
Paste your notes with some context
Start a new chat. Add one or two lines saying what the meeting was and who was there, then paste your notes underneath.
Try thisThese are my notes from today's project kick off with the client. Attendees: Sam (me, project lead), Priya (designer), Tom (client marketing manager), Alex (client IT). Turn them into a short summary of what was decided, then a table of actions with columns for action, owner and due date. Use [TBC] where there is no clear owner or date. Don't add anything that isn't in my notes. Notes: [paste notes here]
Check the actions table
Read the table carefully. Check that every action is real, every owner is right, and nothing important is missing. AI is good at sorting notes, but it can merge two actions or attach one to the wrong person.

The kind of result to expect: a few lines of summary and a clear table. Illustration of Claude's interface, October 2026. Fill the gaps in conversation

Try thisAlex owns the data export, not Tom. The launch date is 14 November. Also add an action for me to send the revised timeline by Friday.
Get it ready to send
Ask for the version you need, such as an email to the attendees or a message for your team chat.
Try thisTurn this into a short follow up email to everyone who attended. Friendly, no more than 150 words above the table.
Check it worked
Send the summary within an hour of the meeting while it is fresh. If you do this every week, save the prompt in a project so you only need to paste in the notes.
Take it to your AI
Copy this into Claude or ChatGPT to get started
This prompt sums up the guide and asks your AI to walk you through it using your own work. Paste it in, then answer its questions.
I've just come out of a meeting and want to turn my notes into a clear summary and action list to send round. I'll paste my notes below. Before you write anything, ask me who was there and what the meeting was for, if it isn't clear from the notes. Then write a short summary of the decisions made, followed by a table of actions with an owner and a due date for each. Mark anything that has no clear owner or date as [TBC] rather than guessing.
